Summary of Responsibilities: The Visit Operations Assistant (VOA) supports the Admissions Operations Team and Office of Public Events by managing individual visitors coming to Geneva’s campus. The VOA coordinates individual visits and ensures that all the details related to the visit are managed through our systems and procedures. In addition, the VOA supports the Enrollment Department by covering our front desk and responding to incoming calls, emails, inquiries, and visitors.

- Manage Individual Campus Visit Program
- As an essential part of Geneva’s Campus Visit Program, the Visit Operations Assistant support the admissions area by scheduling and coordinating daily visits for prospective students. Responsibilities include scheduling all aspects of the visit, including class visits, faculty/coach appointments, campus tours, and on-campus overnight accommodations as needed.
- Liaise with departments and individuals to ensure campus visit guests are meeting with the appropriate individuals to capitalize their visit experience and gain necessary information for college decision process.
- Work with the Director of Admissions Operations and Campus Visit Coordinator to schedule, manage, and streamline individual campus visit processes in the CRM (Slate).
- Ensure that the campus visit program is scalable, reliable, and has clear communication flows.
- Reception and Front Office Organization
- Assist the Campus Visitor Coordinator in managing and staffing the front office area. Tasks include but are not limited to providing coverage for incoming phone calls, maintaining the appearance and organization of the reception area and conference, maintaining inventory of office and hospitality supplies.
- Assisting the Campus Visit Coordinator in welcoming all visitors to the Admissions Office in a welcoming manner, assisting guests with questions, or problems, regarding their campus visit. This includes preparing welcome signage and welcome packages for visitors.
- Assist the Office of Public Events with set up and coordination of major campus events as needed.
- Monitoring and replying to department shared email inbox inquiries
- Other: Performs other duties as assigned.
